An engine is not really a vehicle to a fire department, it is a place four people work with several hundred items arranged exactly where they expect to find them. That is why releasing one for body work is a station level operation rather than a fleet decision, and why the conversation we have with an apparatus manager is almost entirely about equipment, staffing and notification rather than about panels.

Putting a company into a reserve rig

A department that keeps a reserve engine in genuinely ready condition can absorb three weeks of body work without any operational consequence at all. A department whose reserve has been sitting behind a station since the last time somebody needed it discovers a second set of problems on the morning it matters. Nobody at a body shop can help with that, but it is worth saying out loud because it is the single thing that decides whether a repair is easy.

So the first question we ask an apparatus manager is what the company will be riding, and whether that unit is checked and in quarters yet. Where the answer is that the reserve needs work first, tell us, because the sensible order is to sort the reserve, put the company on it, and then send us the damaged rig with a schedule that suits the shop rather than the emergency.

Telling dispatch and your aid partners

Automatic and mutual aid arrangements run on resource lists that somebody maintains, and a unit out of service for a fortnight belongs in that record on day one. The failure mode is not dramatic, it is a communications centre recommending a resource that is sitting in a bay in Yorba Linda and losing ninety seconds finding out. Departments with a move up plan already know this and update it as a matter of routine.

Our part is giving you a duration you can actually publish. We commit a release date at authorization rather than a range, and if a component slips we tell you the day it slips instead of the week before the rig is due. That is what lets a battalion chief update a resource list once rather than three times.

Cross loading, and the inventory that leaves the station

Everything comes off. Hose, appliances, hand tools, extrication equipment, medical supplies, breathing apparatus and the several hundred small items that make a rig usable. That work happens at your station with your people, and we ask that a company officer signs an inventory for anything that stays aboard, which should ideally be nothing at all.

What we log at the gate is what we received: the unit photographed from every side, fuel level, keys, and a note of anything found in a compartment. Where something has been left deliberately, it gets listed and stays in a locked area rather than in the rig. Departments that treat this as a formality once usually treat it seriously afterward, because a missing hand tool is a report somebody has to write.

Note

We would rather receive an empty rig with a signed inventory than a loaded one with a verbal assurance. It protects your people and ours, and it takes twenty minutes at the station.

Fire season sets the window

In this part of California the useful window is roughly December through April, and it narrows in a dry year. Between late spring and the first real rain, a department covering canyon interface is holding staffing and apparatus for red flag conditions and strike team availability, and nobody is releasing a front line rig for cosmetic work in that period.

So the same logic applies here as everywhere else in this file: quote in the autumn, authorize before the year turns, and schedule the work into winter with components already ordered. Accumulated damage on a rig is not urgent by definition, but it does not get less expensive by waiting either, and a rig that goes three seasons before anybody looks at a creased compartment area tends to have a larger scope than it needed.

Records, surveys and the apparatus file

Departments are periodically surveyed, and reserve apparatus and maintenance records come up in that process. We are not the people to advise on what any rating body wants and we do not offer a view on it. What we do is issue a dated completion record naming the apparatus number and VIN, describing the operations performed, and identifying the facility, which is the document that belongs in the unit's history.

Where structural work has been done, the record also notes measurements taken and any component that was not manufacturer supplied. Departments ask for that years later, sometimes during a disposal or a transfer to another agency, and reconstructing it from memory is not possible. Ask for the format you need before the job closes and it arrives in that shape.
